Ensuring critical information is entered during a CapEx request submission is essential for approval workflows and reporting accuracy. CapEx Plan offers a Mandatory Field Configuration feature that allows administrators to mark certain fields as required—indicated by a red asterisk (★).
Where to Access This Setting
To configure mandatory fields:
- Navigate to General Settings.

- Click on the Advanced Settings tab at the top.

- Go to the General page.

- Locate the section titled CAPEX Mandatory Field Configuration.

Understanding the Mandatory Field Configuration Interface
Here’s a breakdown of each option in the configuration panel:
| Column Name | Description |
| Field Name | Lists the form fields that can be made mandatory. |
| From Amount Requested | Set a minimum amount threshold (e.g., $10,000). The field becomes mandatory only if the request exceeds this amount. |
| Apply Currency | Choose the currency for the amount threshold (e.g., USD, EUR). |
| Short Form Select | Make the field mandatory only for specific short forms by selecting them from a dropdown. |
| Default Form | Apply the mandatory setting to the standard long form. |
| Apply Only When | Configure conditional logic (e.g., mandatory only if “Reason = Cost Reduction”). |
Always-Mandatory Fields
Some fields are always mandatory by default. These fields:
- Cannot be disabled
- Always show the red star indicator (★)
- Ensure minimum data entry for all CapEx submissions
Conditional Logic with “Apply Only When”
You can apply specific conditions to control when a field becomes mandatory:
Example Conditions:
- If Reason = “Cost Reduction” or “Legal”
- If Category = “Envelope”
- If CapEx is Budgeted = Yes
OR Conditions: Field becomes mandatory if any one of the specified conditions is true.
AND Conditions: You can only use “AND” between different fields, not the same field.
For example:
- Reason = Cost Reduction AND Reason = Legal → Invalid
- Reason = Cost Reduction AND Category = Engineering → Valid
Best Practices
- Always double-check for unique thresholds per field.
- Use short form targeting wisely to avoid unnecessary required fields.
- Avoid complex “AND” conditions within the same field.
- Review your configurations periodically as business rules evolve.
