How to Grant Edit Access to Capex Requests

The Grant Edit Access feature in Capexplan allows you to control which users can edit specific fields or pages within the Capital Acquisition Request (CAPEX) process. This ensures efficient collaboration while maintaining strict data integrity.

1. Log in as a Super User
  • Access to manage user permissions is restricted to Super Users.
2. Navigate to User Management
  • Go to the User Management section.
  • You can manage permissions for:
    • Individual Users
    • Roles
    • Profiles
3. Locate the User
  • Select the user you want to configure. (Example Marty Fisher)
4. Find the Grant Edit Access Setting
  • Scroll to the Capital Acquisition Request section.
  • Locate the Grant Edit Access option (fields are typically sorted alphabetically).
  • By default, this setting is disabled.
5. Enable Grant Edit Access
  • Toggle the setting to Enabled.
  • Once enabled, configuration options appear.

Configuring Access Details

CAPEX Request Stages
  • Specify which request stages the user can edit.
  • If your system doesn’t use stages, this option won’t apply.
  • Options:
    Specific Stages
    All Stages (Full CAPEX process access)
Select Editable Fields
  • Click Apply to.
  • A list of fields will appear.
  • You can grant edit access to:
    Standard Fields (e.g., Reason for CAPEX, Benefits)
    Custom Fields created for your organization
Grant Access to Entire Pages

You can grant access to all fields within specific pages:

  • Cost Breakdown
  • Disbursement Timeline
  • Project Timeline
  • Approvals
  • Attachments
  • Financial Details
Approval & Reapproval Settings
  • Two checkboxes control access during different phases:
    • Status button for Approval
    • Status button for Reapproval
  • Enable these to allow editing during the approval or reapproval processes.
  • Leave unchecked if access is only for initial creation or modification.
Exclusive vs. Non-Exclusive Access
OptionDescription
ExclusiveOnly the selected user(s) can edit the field. Even the request creator or other Super Users cannot edit. Ideal for fields requiring strict control.
Non-ExclusiveBoth the request creator and the selected user(s) can edit the field. Encourages collaboration but may allow conflicting edits.
Save and Review
  • Click Save to apply your settings.
  • The system displays a list of granted permissions for fields and pages.
  • If using stages, you’ll see entries per stage for clear visibility.
