Capexplan’s advanced settings offer detailed customization options that allow super users to create specific cost types and configure various elements to streamline the request creation and approval process. This guide will walk you through setting up these advanced settings within the Capexplan administration panel.
Advanced Settings
- From the dashboard, select the Administration menu.

- Within the Administration menu, click on General Settings to access the advance settings configuration.

- In the General Settings section, navigate to Advanced Settings.
Configuring Advanced Settings
Asset Types
- Define specific types of assets that require different approval flows, such as IT equipment.
- Specify types or families of equipment, such as ovens, chillers, or production HVAC.
- Define the status of the Capex, such as New, Re-approval, or Add-on.
- Replace Equipment Type with broader categories if needed.
- Define specific subcategories under Asset Category, such as ‘Oven’ under ‘Production’.
- Enter specific codes for financial analysis purposes (optional).
Asset Inventory
- The Asset Inventory settings allow super users to define various levels and types related to asset condition, criticality, and overhaul information.
- Define and manage the condition levels for assets, such as High, Medium, and Low.
- Establish the criticality levels of assets to prioritize maintenance and replacement.
- Record and manage the manufacturer’s overhaul information for different assets.
- Set the minimum condition required for an asset to be operational.
- Define the types of overhauls that assets might undergo.
- Classify assets based on their risk levels.
Financial Types
- Create different types of costs applicable to the Capex, such as planning, engineering, equipment, shipping, labor, and contingencies.
- Categorize the Capex type, whether it’s a new installation, scheduled replacement, or emergency repair.
- Define any savings related to the Capex, such as energy, labor, maintenance reductions, or improved efficiency.
- Identify any cost increases related to the Capex, such as energy, labor, maintenance, or supervision.
- Specify any sales increases generated by the Capex, such as organic sales, new contracts, or new product launches.
- Define any cross-effects by the Capex on sales, such as direct cannibalization, transfer from or to other plants, or product discontinuation.
Closing
- Capexplan enables users to close a capex request using the Close function. Super Users can define the fields needed on the closing page, including new equipment information and details about the equipment being replaced.
General
- Establish different alerts with various trigger points to notify selected users.
- Fix exchange rates for each selected month throughout the company. These rates can be applied to convert request amounts and/or for budget overview.
Shortforms
- Shortforms are lighter versions of forms created by super users to simplify the Capex requests. They can mimic existing company forms and multiple shortforms can be created for different types of requests, such as for laptop purchasing or lower value Capex.
Email Settings
- The Email settings allow super users to configure and manage email templates used for various notifications and approvals.
- Choose the type of email to configure, such as notifications for Capex request approval.
- Select the email template for notifying assignees about Capex requests.
- Customize the email template for notifying managers about Capex request approvals.
- Save the customized email template for future use.
Tracking
- Set up the fields to be shown on the Tracking page for Purchase Orders, Invoices, and Receptions. This helps in keeping track of the various stages and details of the Capex process.
