How to Set Up Custom Fields in Capexplan

The Custom Fields feature in Capexplan allows super users to tailor the request creation process by adding and modifying fields. This customization enhances the user experience by providing additional guidance and specific data entry points relevant to your organization’s needs. Here’s how you can set up and manage custom fields in Capexplan.

  • From the dashboard, select the Administration menu.

  • Within the Administration menu, click the General Settings to access the custom settings.

  • In the General Settings section, navigate to the Custom Fields tab.

Configuring Custom Fields

Add/Edit New Custom Page

Capexplan allows super users to add new custom pages and organize them with a specific layout.

  • Click on Add New Custom Page in the Custom Fields tab.
  • Custom Page: Enter the name of the new page.
  • Column Layout: Choose the desired column layout for the page (e.g., 1 Column Layout).
  • Add/Edit Header: Add or edit the header for the custom page if necessary.

Add/Edit Custom Field

  • Page Name: Select the page where the field should be added.
  • Field Type: Choose the type of field (e.g., text, dropdown, date).
  • Field Label: Enter the label for the field.
  • Show Only if: Specify any conditions under which the field should be shown.
  • Field Size: Set the size of the field.
  • Field Order: Determine the order in which the field will appear on the page.
  • Information for Users: Add any explanatory text to guide users.

Managing Custom Fields

  • The custom fields can be managed in the table below the form, where you can see details like Page Name, Field Type, Field Label, etc.
  • Use the Action column to edit or remove custom fields as needed.

Edit Basic Fields

Super users can rename and manage the visibility of existing fields across various pages.

Search Basic Fields

  • Use the search function to locate the basic fields you want to edit.

Edit Field Properties

  • Page Name: Identify the page where the field is located.
  • Field Name: Specify the current name of the field.
  • New Name: Enter a new name for the field if needed.
  • Information: Add any additional information to guide users.
  • Hide: Choose to hide the field across the system or on specific pages.

Show/Hide Standard Page

Capexplan allows super users to show or hide standard pages within the system.

Manage Visibility

  • Page Name: Identify the page you want to manage.
  • New Name: Enter a new name for the page if necessary.
  • Hide for all: Hide the page for all users.
  • Hide for Normal User: Hide the page only for normal users.
  • Do not hide: Ensure the page remains visible.

Show/Hide Custom Page

Super users can also show or hide custom pages created within the system.

Create/Edit Executive Summaries

Executive summaries can be created or edited to include specific pages and content.

  • Name of Summary: Enter the name of the summary.
  • Number of Pages: Specify the number of pages in the summary.
  • Include Cover Page: Select if a cover page should be included.

Current Summaries

  • Manage existing summaries by editing or enabling/disabling them as needed.

Edit Status Colors

Super users can edit the colors of all statuses in the Current Capex Request page.

  • Select Status: Click on the colored boxes next to each status to open the color selection tool.
  • Choose Color: Select a new color for each status. Soft colors are recommended to maintain readability.

Logo Management

  • Capexplan allows super users to add the company logo to the main page and executive summary pages.

Upload Company Logo

In the Custom Fields tab, find the section for adding the company logo.

  • Upload Logo: Select the logo file from your computer and upload it.
  • Remove Logo: Remove the existing logo if necessary.
