Profile Management is a powerful feature in Capex Plan that simplifies and accelerates user permission setup—especially when managing multiple users with similar roles.
In this guide, we’ll walk you through how to create, manage, and apply profiles to users, saving you significant time and ensuring consistency across your organization.
How to Create a Profile from an Existing User
- Go to the User Management section and Module Permissions.
- Select a user whose permissions are already configured (e.g., PM1).
- Choose the option to Save as Profile.
- Enter a suitable profile name (e.g., Finance Manager).
- Save the profile.
The profile is now created but not yet assigned to any other user.
Accessing and Managing Profiles
- Navigate to the Profile Management section from the dashboard.
- Here, you’ll see a list of all saved profiles.
- You can:
- View profile details
- Edit profile permissions
- Delete a profile if it’s no longer needed
Assigning a Profile to a User
- Go to the Current User section.
- Select the user you want to assign the profile to (e.g., Project Manager).
- Under permissions, select the profile named Manager.
The user now inherits all permissions from the selected profile.
Editing a Profile (and Applying Changes to All Users)
One of the biggest advantages of using profiles is bulk permission updates. If you edit a profile, all users assigned to that profile are automatically updated.
- Go to the Manager profile.
- Change the Chart of Accounts permission to Read Only.
- Save the profile.
All users using the Managers profile (including Alm_KB and project Manager) now have the updated permissions instantly.
Removing or Changing a User’s Profile
If a user no longer belongs to a specific role or needs different access:
- Go to current User.
- Remove the current profile or assign a new one (e.g., switch from Finance Managers to Engineer).
- Save changes.
The user’s permissions are updated accordingly.
Using profile management ensures your team’s access is consistent, secure, and efficient—all while reducing manual work.
