Foreign exchange (FX) rates in Capexplan ensure accurate currency conversions for consolidated reporting across global business units.
Step-by-Step: Configure FX Rates
1. Access FX Rate Settings
- Navigate to General Settings

- Select the Advanced Settings tab

- Click on the General sub-tab

- Locate the FX Rate setting

2. FX Rate Table Overview
The FX rate table displays a matrix of all permitted currencies (defined in Basic Settings) along both vertical and horizontal axes, allowing you to define conversion rates between any two currencies.
3. Key Checkboxes & Their Purpose

| Use amount of user conversion | Converts request amounts to the approval currency using defined FX rates |
| Use for Budget Overview | Consolidates budgets from multiple currencies into a selected currency for unified reporting |
| Use for Manage Budget | Allows currency selection for the Manage Budget page to display all amounts in one denomination |
| Use for Dashboard | Consolidates dashboard financial data across currencies |
| Use for Asset Inventory Page | Allows unified currency view for the Asset Inventory section |
4. Defining Exchange Rate Frequency
Capexplan supports three time-based FX rate configurations:
| Frequency | Description |
Monthly | Define rates for each month individually (default option) |
| Quarterly | Enter rates per quarter |
| Annual | Apply rates consistently for the entire year |
5. Example Custom FX Strategy
You can apply different frequencies to different areas:
- Quarterly rates for amount conversion
- Annual rates for Manage Budget
- Monthly rates for Budget Overview

6. Importing FX Rates via Template
To simplify data entry:
- Click the Upload Template.

- Click Generate Template to download the Excel file

- Fill in the exchange rates (copy-paste from other sources if needed)
- Return to the FX Rate page
- Click Choose File and select the completed template

- Click Import Template

The system will automatically populate the FX Rate table, saving time.
